Privacy Policy

This Privacy Policy explains how Smart Data Analytics (“we”, “us”) handles information in the SmartQ mobile application and related services (the “App”). The App is a field data-collection tool used by organizations (“Clients”) and their authorized field staff (“Users”) to conduct surveys.

1. Who controls your data

SmartQ is a multi-tenant platform. Each Client is the data controller for the survey data its team collects. Smart Data Analytics acts as a data processor on the Client’s behalf and operates the infrastructure. Questions about a specific Client’s data should be directed to that Client.

2. Information we collect

• Account & device data: name, email, role, and a device identifier used to approve the device for a Client.
• Location (GPS): when a User fills out a survey, the App records GPS coordinates and a timestamp to verify where data was collected. Location is captured only during active survey use, not in the background.
• Survey responses: answers entered by Users, which may include photos or signatures if the survey requires them.
• Technical data: app version, basic diagnostics, and sync timestamps.

3. How we use information

• To deliver surveys to the right Users and collect responses.
• To verify the location and time of data collection for the Client.
• To authenticate Users and approve devices.
• To sync data between the device and the Client’s workspace.
• To maintain security, prevent abuse, and provide support.

4. Permissions we request

• Location (when in use): to tag survey responses with GPS coordinates.
• Camera: to scan QR enrollment codes and attach photos to answers.
• Storage: to cache surveys for offline use and queue responses until sync.

You can revoke permissions at any time in your device settings; some features may then stop working.

5. Data sharing

We do not sell personal data. Data is shared only with the Client whose surveys are being collected, and with infrastructure providers (hosting and object storage) strictly to operate the service. We do not use survey data for advertising.

6. Data retention

Survey data is retained for as long as the Client requires it, subject to the Client’s own retention policy. When a Client closes its account or requests deletion, associated data is removed within a reasonable period.

7. Your rights

Depending on your jurisdiction (including under the GDPR), you may have the right to access, correct, or delete your personal data, or to object to its processing. To exercise these rights, contact the relevant Client or email us at info@smartdata.rs. See also our account deletion page.

8. Security

Data is encrypted in transit (HTTPS/TLS). Access is restricted by role, devices must be approved by a Client administrator, and sensitive credentials are never stored in the app code.

9. Children

The App is a workplace tool intended for adult field staff and is not directed at children under 16.

10. Changes

We may update this policy; material changes will be reflected by the “Last updated” date above.
